Area Scouts Privacy Policy

Area Scouts is owned and operated by Beacon Private Equity Group (www.facilitylaunch.com). The acquisition closed on August 27, 2026. In this policy, "Area Scouts," "we," "us," and "our" mean Area Scouts, a Beacon Private Equity Group company, and Beacon Private Equity Group. This policy covers www.areascouts.com, app.areascouts.com, and related Area Scouts pages, forms, surveys, and promotions (together, the "Services").

Our Commitment to Your Privacy

At Area Scouts, we are dedicated to improving our products and providing excellent customer service. When you order, register, complete a survey, enter a promotion, or contact us through the Services, we may ask for your name, email address, mailing address, phone number, state of residence, your role (for example coach, sponsor, private trainer or specialist, athlete, school or club leader, parent or family member, health or medical professional, organization, or partner), the title you choose from our list, and your answers to survey questions. We value the information you provide, and we use it in the following ways:

Personalization: We use your information to better understand and respond to your individual needs, ensuring a personalized experience.

Website and Product Improvement: Your feedback and information help us continuously enhance our website and platform, making them more user-friendly and effective. Survey answers guide what our development team builds, including athlete health and safety features.

Customer Service: We use your information to promptly address your customer service inquiries and support needs.

Transaction Processing: We use your information to deliver the products or services you request. We do not sell your personal information. We share it only as described in "How We Share Information" below.

Contests, Promotions, and Surveys: If you participate in our contests, promotions, giveaways, or surveys, we use your information to administer them and communicate with you about them. For giveaways, this includes checking eligibility (for example age and state of residence), selecting and notifying winners, and meeting legal requirements. Each giveaway has its own Official Rules. Completing the survey is one way to enter; the Official Rules also describe a free alternate method of entry that does not require the survey. Entry is free, and the content of your answers never affects your chances of winning. Entering is never conditioned on agreeing to marketing calls or texts.

Periodic Communications: With the email address you provide, we may send you relevant information, respond to inquiries, and fulfill requests or questions. You can opt out of marketing emails at any time using the unsubscribe link in any email or by contacting us.

How We Share Information

  • Beacon Private Equity Group and affiliates. We share information within the Beacon Private Equity Group family of companies, including FacilityLaunch (www.facilitylaunch.com). We do this to operate and improve the Services and to tell you about related opportunities you've asked about, such as facility booking or launch, licensing, and sponsorship. Affiliates must handle your information in line with this policy.
  • Service providers. We use vendors who process information on our behalf and only under our instructions. They include website hosting, content delivery and security (Cloudflare), payment processing (Stripe), email and SMS delivery, and our customer relationship management (CRM) system (see "CRM Processing").
  • Sponsorship program. If you ask to have your athletes considered for sponsorship, we may share limited profile information with prospective local business sponsors, but only with your permission.
  • Legal and safety. We may disclose information to comply with law or legal process, to enforce our terms or giveaway rules, or to protect the rights, safety, and property of our users, athletes, or others.
  • Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy. The August 27, 2026 acquisition by Beacon Private Equity Group was such a transaction.

Public "Recent Sign-Up" Notices (Optional)

If a form offers, and you check, the optional box that reads “I’m 18 or older, and it’s OK to show my first name, last initial, state, and role on Area Scouts,” we may briefly show a notice on our websites, for example: "Marcus T. from Georgia joined as a Youth Football Head Coach."

  • What is shown: only your first name, last initial, state, and the role title you picked from our list. We never show your full last name, email address, phone number, street address, survey answers, or giveaway status.
  • Adults only: notices are never shown for anyone under 18. Athlete role titles are shown only when an adult has given this consent themselves.
  • Timing and limits: a notice is not shown until at least one hour after you sign up. Notices are shown a limited number of times and only for a limited period (up to 7 days for survey sign-ups and up to 30 days for other sign-ups).
  • Screening: every entry is checked automatically before it can be shown: the role must be on our approved list, the name must look like a real first name, and offensive language is blocked. Entries that fail are never shown and may be reviewed by our staff. Your sign-up itself is not affected.
  • Your choice: this is optional and is not a condition of entering any giveaway or making any purchase. We record the consent text and time. You can withdraw at any time by contacting us (see "Contacting Us"), and we will stop showing your notice.

Text Messages and Calls (TCPA)

If you check the optional consent box on one of our forms, you agree that Area Scouts, a Beacon Private Equity Group company, and Beacon Private Equity Group may contact you by calls and text messages at the number you provide. This may include messages sent using automated technology or prerecorded/artificial voice. Consent is not a condition of any purchase or giveaway entry. Message and data rates may apply, and message frequency varies. Reply STOP to opt out of texts at any time. Reply HELP for help, or contact support@areascouts.com. We keep a record of your consent: the date and time, the consent wording shown, and the page where you gave it.

No sale or sharing of SMS opt-in data. We will not sell, rent, or share mobile phone numbers or text-messaging opt-in data and consent with third parties or affiliates for their own marketing purposes. The only exception is service providers that deliver messages on our behalf.

IP Addresses, Analytics, and Similar Technologies

When you visit the Services, our servers and our analytics service automatically collect certain information. This includes:

  • your IP address, and approximate location derived from it (country, region, city)
  • device type and browser (user agent)
  • referring page
  • pages viewed, time on page, and links clicked

Our first-party visitor analytics service runs on Cloudflare. It reads your IP address from Cloudflare's connection header (cf-connecting-ip) and stores a random session identifier in your browser's local storage. When you submit a form or survey, we also record the IP address and time of submission to help prevent fraud and spam and to document consent. We use this information for security, fraud prevention, understanding how the Services are used, and improving them. We do not use it to identify you by name unless you have given us your information, for example by submitting a form.

Information Security

We take your personal information's security seriously and employ various measures to protect it when you enter, submit, or access it. We do not sell your personal information. For credit card processing, we use Stripe with SSL encryption, and transactions will appear on your credit card statement as Area Scouts. No method of transmission or storage is 100% secure, but we work to protect your information using reasonable administrative, technical, and physical safeguards.

CRM Processing

We store contacts, form submissions, survey answers, giveaway entries, and communication preferences in our CRM system (AS-CRM). We use it to respond to you, manage relationships with coaches, licensees, parents, programs, and partners, and send communications you have agreed to receive. We may use survey answers to prioritize follow-up, for example to see which features or opportunities you're interested in. This does not produce legal or similarly significant effects for you.

Use of Cookies and Similar Technologies

We use cookies and similar technologies (such as browser local storage) to collect and store information about your visit. Cookies are small data files that websites send to your browser, enabling us to measure site activity, customize your experience, and provide a more meaningful visit. Some of these technologies work with the analytics described above, which collects IP addresses. These technologies help us understand your preferences, compile data on site traffic and interaction, and enhance future site experiences and tools.

You can modify your browser settings to receive cookie notifications or disable cookies and clear local storage, but note that disabling cookies may limit access to certain customized areas of our site.

Links and Advertising

Occasionally, we may offer products or services on our website, including those of our affiliates such as FacilityLaunch, which have their own separate privacy policies. While we aim to protect our site's integrity, we assume no responsibility or liability for the content and activities of these linked sites. We appreciate any feedback you may have about these sites.

Children, Youth Athletes, and COPPA

Area Scouts serves youth athletes, and we take children's privacy seriously. We comply with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information from children under 13 without verifiable parental consent. Profiles, evaluations, and other information about athletes under 13 must be created and managed by a parent or legal guardian, or by an authorized coach or program acting with the parent's consent. Parents and guardians may review, correct, or delete their child's information, or withdraw consent, by contacting support@areascouts.com. If we learn that we collected information from a child under 13 without that consent, we will delete it. Athletes aged 13 to 17 should use the Services with a parent's or guardian's involvement. Giveaways are open only to adults 18 and older (or the age of majority where they live, if higher). We do not sell the personal information of anyone under 18.

Your Privacy Rights and State Privacy Rights

Wherever you live, you can ask to access, correct, or delete your personal information, and you can opt out of marketing at any time. Depending on your state, including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and others with consumer privacy laws, you may also have the right to:

  • know what personal information we collect, use, and disclose
  • get a copy of your information
  • correct it or delete it
  • opt out of the sale of personal information, "sharing" for cross-context behavioral advertising, targeted advertising, or certain profiling
  • appeal a decision we make about your request
  • not be discriminated against for using these rights

We do not sell personal information. To make a request, email support@areascouts.com with the subject line "Privacy Request." We will verify your identity before we act, and an authorized agent may submit a request for you where the law allows. If we deny your request, you may appeal by replying to our decision. Where required, we honor browser-based opt-out signals such as Global Privacy Control.

Data retention. We keep personal information only as long as we need it for the purposes described here, including legal, tax, giveaway, and consent-record requirements, and then delete or de-identify it.

Online Privacy Policy Only

This privacy policy applies solely to information collected through our Services and does not cover offline data collection.
